Who we are
Klinycs is operated by Agata Holdings LLC, a Texas limited liability company, at 56 Cottondale Rd, The Hills, TX 78738. In this policy, "Klinycs", "we" and "us" mean Agata Holdings LLC. You can reach us about privacy at info@klinycs.com.
Two kinds of data
Website visitors and business contacts. When you visit this site, book a demo or write to us, we decide how that information is used, and this policy applies to it.
Clinic data inside Klinycs. When a clinic uses Klinycs, the clinic decides what it stores about its clients and patients. We process that data only to provide the service to the clinic, under our customer agreement and, when the clinic is a covered entity under HIPAA, a signed Business Associate Agreement. If you are a client or patient of a clinic, the clinic's own privacy notice applies, and requests about your records should go to the clinic. We help the clinic answer them.
What we collect
- Demo requests: your name, work email, clinic name, specialty and the plan you are considering.
- Scheduling: when you book a demo on our Google Calendar booking page, Google receives the details you enter, under its own privacy policy, and shares them with us so we can hold the meeting.
- Emails and calls: what you choose to tell us.
- Technical data: our hosting provider records basic request data, such as IP address, browser and the pages requested, to keep the site running and secure.
This site sets no cookies of its own, uses no advertising or analytics trackers and serves its fonts from our own servers. If you open the booking calendar, Google may set its own cookies inside it.
How we use it
- To answer you, schedule and run demos.
- To set up, bill and support clinics that sign up.
- To keep the site and the service secure and working.
- To meet legal obligations.
We do not sell personal information, and we do not share it for targeted advertising.
Who we share it with
- Service providers that help us run Klinycs, such as hosting and database, email and text message delivery, calendar, AI transcription and payments, under contracts that limit how they may use the data and under business associate agreements where required.
- Professional advisers, and authorities when the law requires it.
- A buyer or successor if Klinycs is ever sold or merged, who must keep following this policy.
Text messages
Clinics use Klinycs to send appointment reminders and other messages to their clients. Marketing texts go only to people who opted in, and automated texts are held during the clinic's quiet hours. You can stop all texts from a clinic at any time by replying STOP, or reply HELP for help. Message and data rates may apply.
We do not sell or share mobile numbers or text message consent with third parties or affiliates for their marketing.
How long we keep it
Demo requests and business emails: while we are in touch, and for up to 24 months after the last contact. Clinic data: while the clinic's account is active, and then it is returned or deleted as the customer agreement sets out.
Security
Two-step sign-in, an audit log of every view and change, roles with permissions and encryption in transit protect the service. Read more on our Security page.
Your choices and rights
You can ask us to access, correct or delete the personal information we hold about you as a website visitor or business contact, or to stop emailing you. Write to info@klinycs.com. We confirm every request and answer within 45 days.
Depending on where you live, such as California, you may have more rights under state law. We will not treat you differently for using them.
Children
Klinycs is a service for businesses. This site is not meant for children under 13, and we do not knowingly collect their information.
Changes to this policy
When we change this policy, we update the date at the top. If a change is significant, we say so on this page and let customers know directly.
